<p>Have you ever heard someone say that they are blown away by the service their managing agent delivers? How often have you heard of a managing agent going the extra mile or above and beyond the call of duty?</p>



<p><br>I have never had the experience or met someone who has. This is not to say there are not fantastic managing agents and firms out there but rather if there are, they are a small minority.</p>



<h2 class="wp-block-heading">Why would this be the case?</h2>



<p>I attended a Sectional Title training course at Paddocks last year which gave me some much-needed insight into the law that governs sectional title properties as well as the environment and culture that seems to be the norm within managing agencies and its not pretty.<br>The guys I met were mostly in their 20&#8217;s, maybe early 30&#8217;s and they all seemed rather unhappy and deflated. It was a three-day training program which gave us time to socialise and as the conversations progressed and people relaxed there seemed to be a consistent trend in the language they used and conditions they worked in.</p>



<h2 class="wp-block-heading">How managing agencies tend to run.</h2>



<p>What I discovered was that per employee or rather &#8220;managing agent&#8221; they can have around 20 sectional title schemes under their management at any given time. Can you just imagine all the work involved in that? That&#8217;s 20 AGM meetings to attend per year, financial statements need to be drawn up, minutes of the meeting documented and distributed, dealing with insurance claims, trustee and owner squabbles, building issues and maintenance etc.</p>



<p><br>The list goes on, it&#8217;s simply not a scalable business model that would deliver quality results to every client. I don&#8217;t know how many times I have called managing agents I deal with and don&#8217;t get hold of them, don&#8217;t get called back, late responses to emails, the usual.</p>



<h2 class="wp-block-heading">BUT is it their fault?</h2>



<p>Or is the company at fault by increasing the workload these agents take on to increase profits and their bottom line? Is the consumer possibly at fault for choosing price as their main decision maker when choosing a managing agent?<br>If the price is the main factor, it would force companies to drop pricing to compete and as a result, pile on as many schemes to an individual as possible to maintain profits and keep expenses down.</p>



<p><br>I feel each party is at fault in this scenario, trustees don&#8217;t often understand what&#8217;s required of a managing agent, they don&#8217;t know their duties as trustees and as a result, make uninformed decisions, albeit with the best intentions.</p>



<p><br>Managing agents simply have too much work on their plate, however, like my grandfather always told me, &#8220;If you do a job, you do it properly, or not at all&#8221;. No one has time in this day and age for incompetence and slow response times. Trustees and owners shouldn&#8217;t have to struggle to get issues sorted out and responses to emails. Nothing later than 24 hours response time should be acceptable in any business environment.</p>



<p><br>Then you have the corporations, who only have their bottom line in mind and are not service delivery focused, if they were, I&#8217;m sure we would have a lot better relationship with the managing agents we deal with daily.</p>



<h2 class="wp-block-heading">So what&#8217;s the solution?</h2>



<p>Well, the culture and norms need to change within the sectional title industry as a whole. Owners and trustees need to understand you pay for what you get. If you want a super responsive, pro-active managing agents, that agent needs to be paid more, so he doesn&#8217;t have to scale the number of schemes under his/her management. It&#8217;s not rocket science.</p>



<p><br>What we have successfully implemented in Camps Bay and surrounds is to partner with body corporate&#8217;s and their managing agents and taken on the workload of actually being on the ground, being the eyes and ears, implementing R&amp;M jobs, checking on the contractor&#8217;s work post-completion and ensuring the block is being run successfully from a hands-on approach, this is property management.<br>The role of the trustees should be to approve medium to large scale jobs and ensure the smooth running of the block, not doing the running around for it.</p>

<p>In this post, I&#8217;ll be discussing the contributing factors to occupancy and how it relates to holiday let properties using short term rental sites as a marketing medium.</p>



<h2 class="wp-block-heading"><strong>Location:</strong></h2>



<p>Location plays a very large factor in determining the seasonality of a rental property. If we look to compare Camps Bay, CBD and De Waterkant, for example, we see an interesting parallel between occupancy and ADR (Average Daily Rate).<br>Being located in the CBD, one tends to attract a lot of businessmen attending conferences and conducting meetings, here we tend to have a more consistent booking occupancy through the year. </p>



<p>This generally comes at the expense of ADR due to the location and the size of most of the units in the area. On the other end of the spectrum, Camps Bay is highly seasonal. In what I like to call high-peak ( 18 December &#8211; 7 January) one can get anything form R13000- R18000 per night for a 3 bedroom unit whereas, in June, you are struggling to sell the same unit for R3500. That&#8217;s less than 20% of the high peak rates but when looking to boost overall revenue for the year, this is what needs to be done in the area to attract customers.</p>



<p><br>De Waterkant is a happy medium of the two, being close enough to the CBD to attract the business traveller yet still giving the holiday traveller the feeling of being on vacation as a result of the relaxed environment, cafes and proximity to the V&amp;A and other attractions. It tends to yield a higher ADR than CBD properties and without the volatile troughs and peaks that effect Camps Bay.</p>



<h2 class="wp-block-heading"><strong>Property Size:</strong></h2>



<p>Is bigger really better?A simple lockup and go unit is low on maintenance, quicker to clean, quicker to turnaround, less wear and tear in common areas, lower setup cost and cater towards the highest percentage off guest arrivals according to Airbnb. This sounds like a no brainer so far, so what are the tradeoffs?</p>



<p><br>Well firstly from a Cape Town standpoint, there are simply too many studio/ one-bedroom units on the market with 2500+ new units due to come onto the market in 2019 alone. We now have an excess supply with not enough demand, a lot more second homeowners who are just looking to cover the cost and as a result lower prices to an unsustainable level for any PM/rental company to compete with. What was selling for R1100 R1300 per night is now not even selling at R800 with most one bedrooms being priced between R500 &#8211; R700.<br></p>



<p>Let&#8217;s paint a picture:<br>You get a booking for 5 nights, that&#8217;s a pretty solid booking for a one-bedroom unit and it sold at R650 (based on the current market) per night with a cleaning fee of R400 and your PM takes 20% commission on bookings.<br>The booking breakdown looks as follows:<br>Booking total R 2600 Cleaning Fee: R400<br>Due to owner: R2080 + R400 cleaning due to PM: R520</p>



<p>You would be lucky to clear more than R12000 per month at that rate, so how do two or three-bedroom units compare?<br>Again speaking from my knowledge and watching the market over the last 5 years, the price for a three-bedroom has hardly been affected. In the winter month&#8217;s the price hasn&#8217;t changed at all with good occupancy and the high peak rates increasing by up to 30%. Two-bedroom units have seemed to remain consistent throughout the year on pricing and this is taking the current maco environments into account as well.</p>



<h2 class="wp-block-heading"><strong>Price:</strong></h2>



<p>It goes without saying a lowered nightly rate will increase your occupancy at the expense of wear and tear. I would advise you to start with a lowered rate to increase the credibility of your profile with a lot of reviews and then slowly increase your rates to find the medium between occupancy and ADR. I have found some owners prefer a higher ADR to maintain guest &#8220;quality&#8221; and protect their investment though I can&#8217;t really say I have seen any difference between someone willing to pay R2000 pn or R6000 on.</p>



<h2 class="wp-block-heading"><strong>Macro environment:</strong></h2>



<p>The macro-environment is where we have very little if no control over and can have a massive impact on guest arrivals in general.<br>If we look at the political landscape, policy changes such as the need for all international arrivals to produce an unabridged birth certificate when a minor is travelling caused our Chinese arrivals to plummet. Why? Well simply put, they don&#8217;t have the document! I&#8217;ve heard stories of family members having been left behind because of missing documents or uncertainty at the departure terminal. This can turn a relaxed family holiday into a nightmare, not something that promotes South African tourism.</p>



<p><br>South Africa is getting expensive for tourists? Who would have thought, with the rand to dollar sitting at R14,85 as I write this? But this is most certainly something that is getting more traction amongst returning guests. Cape Town, in particular, has been labelled at inflating prices and there is a myriad of other economic factors that can and are affecting our tourism market and the number of international and local guest arrivals to our beautiful city.</p>

<p>So you have a second home you have been renting long term or are thinking of an investment property and you heard people are making a killing doing this Airbnb &#8220;thing&#8221;. What are the things to look out for? What can you expect in terms of occupancy and revenue and who will you use to help you run this if anyone?</p>



<p>Over the next few articles, I will go into some detail outlining some of the factors you should be thinking about, questions you should ask yourself and give you a good base from which to make your decisions going forward.</p>



<p><br>Topics I&#8217;ll be discussing will range from occupancy &amp; revenue expectations and how factors like seasonality, property size, location and market reach all play a vital role in pushing up those numbers. How R&amp;M is a factor to be considered and the large role your service provider plays in this regard, being pro-active and switched on is the name of the game here.<br></p>

<p>With the advent of Airbnb and the massive impact, this has had on the holiday let industry as a whole, the legal situation has come into the spotlight. The local and national governments are looking at the industry as a whole and are proposing new regulations and body corporate&#8217;s are not too fond of the comings and goings of individuals through their buildings. The latter issue has some merit although I do feel they generally come down like an iron fist instead of looking at the issue from a holistic approach and building new management rules that have the future owners and tenants in mind and not only considering their current position.</p>



<p><br>Lastly, I&#8217;ll be discussing the various service provider options available, what the pro&#8217;s and cons are of most and things to consider when choosing one. Off the bat, I strongly discourage simply choosing one that simply offers the lowest commission, as with everything in life, you get what you pay for!<br></p>
